A Difficult and Disappointing HOA Management Experience. Our homeowners' association encountered significant challenges with McCombs Commercial Realty, issues that became more pronounced following the termination of the management relationship. One of our primary concerns was the lack of financial transparency and inadequate recordkeeping. Board members frequently struggled to obtain detailed financial documents and explanations necessary to fully comprehend and verify the association’s financial status. During the transition, we requested accounting and association records; however, we did not receive all materials in the expected format or level of detail. Consequently, our Board ultimately had to undertake an extensive reconciliation of homeowner accounts and historical financial activity ourselves. We also experienced serious frustration with communication. Getting direct responses to inquiries proved challenging, as Board members had to repeatedly request clarification and additional information. This hindered responsible Board oversight and effective governance. Property management and enforcement efforts were another major concern. It was almost nonexistent or selective at best. After transitioning away from McCombs, we identified numerous maintenance issues and violations of covenants that required immediate attention. Certain conditions appeared to have gone unaddressed for an extended period. After transitioning away from McCombs, the extent of many deferred issues became significantly clearer. Moreover, the transition process itself was particularly arduous. Instead of a complete and organized turnover that allowed the new administration to simply pick up where management left off, our Board spent substantial time locating information, reviewing records, reconciling accounts, organizing documents, and rebuilding administrative processes. There were also financial transactions during the management period that necessitated considerable follow-up by the Board and raised concerns regarding the adequacy of financial controls and oversight. Resolving and understanding those matters required time and effort that should not have been necessary with a professional management company. Our criticism is not founded on isolated incidents but reflects a cumulative experience characterized by difficulties in obtaining information, understanding financial records, addressing neglected community issues, and executing a difficult management transition. HOA boards rely heavily on their management companies for accurate accounting, comprehensive recordkeeping, prompt communication, consistent property oversight, and transparency. Based on our experience, McCombs Commercial Realty did not deliver the level of service and accountability our association signed up for, and we would not hire this company again. If advising another HOA board, we recommend requesting detailed financial records, regularly reviewing bank activities and homeowner ledgers, documenting Board decisions, and ensuring that the association—rather than the management company—has complete access to its own records.
